Your privacy matters to us. This policy explains what personal information Broadsword Communications collects, why we collect it, and the rights you have over it.

1. Who we are
Broadsword Communications (“Broadsword”, “we”, “us” or “our”) is a strategic communications agency based in South Africa. We are the responsible party for the personal information described in this policy under the Protection of Personal Information Act, 4 of 2013 (“POPIA”).

2. Information we collect
We only collect personal information that you choose to give us. When you complete the enquiry form on our contact page, we collect:
- your name;
- your email address;
- your phone number (if you provide it);
- your company or organisation (if you provide it);
- the service you're interested in (if you select one); and
- the contents of the message you send us.
If you email or call us directly, we'll also hold whatever information is contained in that correspondence. We do not use advertising cookies, third-party tracking pixels, or analytics that profile you across the web.
3. How we use your information
We use the information you give us to:
- respond to your enquiry;
- prepare and discuss a proposal or quote for work you've asked about;
- keep a record of our communication with you; and
- provide the services we agree to deliver.
We process this information because you have asked us to respond to you and because it is in our legitimate interest to manage enquiries and run our business. We will not use your details for unrelated marketing without your consent.
4. Who we share it with
We do not sell your personal information. We share it only with the trusted service providers that help us operate, and only as far as needed:
- Airtable — securely stores enquiries submitted through our website so that our team can manage and respond to them.
- Vercel — hosts our website and processes form submissions in transit.
- Our email and hosting providers — deliver the correspondence between us.
Some of these providers operate outside South Africa. Where personal information is transferred across borders, we take reasonable steps to ensure it remains protected to a standard consistent with POPIA. We may also disclose information where the law requires us to.
5. How we keep it safe
We take reasonable, appropriate technical and organisational measures to protect your personal information against loss, unauthorised access, and misuse. Information is transmitted over encrypted connections and access is limited to people who need it to do their work. No method of transmission or storage is completely secure, but we work to protect your information and to address any issue promptly if one arises.
6. How long we keep it
We keep your personal information only for as long as it's needed for the purposes set out above, or for as long as the law requires. When we no longer need it, we'll delete it or anonymise it.
7. Your rights
Under POPIA, you have the right to:
- ask what personal information we hold about you and request a copy of it;
- ask us to correct or update information that's wrong or out of date;
- ask us to delete your information where there is no good reason for us to keep it;
- object to us using your information in certain circumstances; and
- withdraw any consent you've given, without affecting processing already carried out.

8. Changes to this policy
We may update this policy from time to time. When we do, we'll revise the “last updated” date at the top of the page. Please check back occasionally to stay informed.
